Maintenance Protocol for Classrooms

The good fortune of having funds to renovate Glocker has brought challenges that will continue for a number of years into the future as we move on to renovate Estabrook, Ayres, Music, Jesse Harris, and Earth and Planetary Science. The challenge is to use all available classroom space efficiently, which requires that faculty teach in classrooms all across campus. The cooperation of all faculty and students in scheduling and using our classroom space is essential during a long period of renovation and displacement. To make the process work, all need to leave classroom space at the end of each class as they would hope to find it at the start of a new class session. Facilities Services and OIT have also pledged to do what they can to make each classroom a functional and pleasing space. To aid in the process, the following protocol has been developed.

Maintenance Protocol

  1. Classrooms without expensive electronic equipment will not be locked.
  2. Classrooms that have been upgraded with computer projectors, document
    cameras, smartboards, etc., will be locked after the last class by the
    custodial staff from Facilities Services.
  3. Classrooms that are locked at night will have to be opened in the mornings
    for classes by someone designated by the Dean of each college. Facilities
    Services and the UT Police will not be able to unlock these classrooms 
    except in extreme emergencies.
  4. Facilities Services will clean the chalkboards and chalk trays on a daily basis.
    They will also provide the chalk and erasers as needed. Please keep in mind
    that this cleaning and stocking activity is performed once per day and at night.
  5. Facilities Services will clean whiteboards and trays on a daily basis. They
    will also begin to supply black markers only as soon as they get geared up
    to do so. Please keep in mind that this cleaning and stocking activity is
    performed once per day and at night.
  6. Facilities Services will clean and straighten each classroom on a daily basis.
    They will also realign the tables, chairs, and tablet arm chairs to their standard
    location. Please keep in mind that this cleaning activity is performed once
    per day and at night.
  7. Facilities Services will maintain and repair all classroom furniture and 
    equipment except for the electronic equipment. Problems with any of this
    furniture and equipment should be called in to the Facilities Services Work 
    Order Office at extension 4-2347. This includes items such as broken
    windows, blinds, shades, tables, chairs, screens, chalkboards, etc. The
    need for additional chairs or removal of too many can also be called in to
    this number.
  8. OIT-Ites-Classrooms will maintain and repair all classroom electronic 
    equipment installed by them and/or provided in campus classrooms.
    This includes SMART classrooms, Smart Boards, internet access, podium
    with laptop connections, sound systems, projection systems, DVD/Laserdisk/
    VCR players, document cameras, and 35MM slide converters. They may be 
    reached at extension 4-9110. They are committed to a 10 minute response
    time.
  9. Overhead projectors, slide projectors, and other simple pieces of equipment
    are not provided by or maintained by Facilities Services or OIT. However,
    Facilities Services will provide replacement bulbs and minor repair for 
    existing equipment that is already in classrooms.
